Our Process
  
Initial meeting with customer The initial meeting serves two primary objectives. The first is to introduce our company and services and review the benefits of an energy retrofit project. The second is to determine what constitutes a "good" project for the customer and preliminarily determine whether Energy Retrofitters can meet the company's requirements. If so, a comprehensive facility-wide audit will be scheduled. Depending on the size of the facility, it is possible the audit will be done while we are on site.
Lighting System Audit A facility-wide lighting system audit will be performed by one or more of our energy retrofit specialists. Every effort is made to inspect all areas in the facility including closets, storage areas, and restrooms. The following information is recorded for each fixture type found in each area:
• Map location number • Location description • Annual hours of run time per group of fixtures • Fixture quantities • Footcandle readings • Lamp & Ballast types
• Ceiling Height measurements • Notes (mounting considerations, etc…)
• Requested Change in lights levels (more or less light)
We also gather the following information to complete your Analysis:
• Signed Letter of Authorization (To obtain 12 month history of usage for the facility) This assists us in gauging seasonal HVAC loads.
• Current copy of the Electricity Bill (To determine KWH rate and Peak demands)
• Existing cost of lighting maintenance facility wide
The data is then entered into Energy Retrofitter’s proprietary proposal generation system.
Project Analysis and Design Once the audit data is entered into the computer, project analysis and design are performed. Instead of a "cookie cutter" approach to lighting design that is commonplace in the industry, every Energy Retrofitter lighting project is carefully designed to strike an appropriate balance between energy savings, light levels, and light quality in each facility area. Many factors must be considered including existing conditions, tasks performed, payback criteria, and specific customer requests. Our projects are designed on a room-by-room, area-by-area basis to achieve the best possible results for the customer. Project design is a team effort, and all proposals are subject to a final review by a principal of the company and our master electrician.
Presentation of Proposal Our proposal format has evolved over time to address the specific needs and requests of our customers. Customers receive all of the detail necessary to make an informed purchase decision. During the presentation, we methodically walk customers through all of the information contained in the proposal. The presentation is interactive; we encourage customers to ask questions at any time. Our customers regularly praise the clarity and extensive detail found in our proposals. Our proposal details the amount of projected guaranteed savings based on the data collected from the client, and will show concrete Simple Payback and ROI numbers that we guarantee in writing.
Project Installation Once the proposal is accepted, project installation times, particularly in industrial facilities, must be evaluated on a case-by-case basis including criteria such as the customer’s requested timeframe for installation, project size, and complexity.
Upon receipt of a signed contract (signed by the owner or duly authorized representative of the company), materials are ordered and shipped from distributors and manufacturers. The project manager assigned to the project schedules a pre-construction meeting with the customer as necessary. If needed, the facility manager and key facility maintenance staff are asked to attend. The purpose of the meeting is to strategize an appropriate plan for project installation with input from the customer. Our commitment to the customer is a "no surprises" project.
The pre-construction meeting will include a facility walk-through, at which time the project manager meets with key supervisory staff at the facility. The project manager will provide an overview of the facility-wide project, and then describe what will occur in each area. He will ask the supervisory staff members questions concerning times that each area can be entered, equipment sensitivities, and other matters specific to the project. During construction, retrofitted fixtures and lenses are cleaned. Material requiring special disposal (lamps and ballasts) will be handled by Energy Retrofitters, Inc.
Project Completion Upon project completion a detailed walk-through of the facility is done with the client. Excess material, dumpsters, PCB ballasts, and fluorescent lamps containers are removed from the site. EPA-authorized handlers recycle PCB and non PCB ballasts and discarded lamps, and the customer is provided with all applicable documentation and warranty information. Final payment is collected at the time of completion and final walkthrough.
Warranty/Maintenance Warranty instruction information is left on site, and a copy is retained for our records. The warranty will encompass all issues as related to the details of the installation and installed components. Some components carry different warranty lengths, (Such as new fixtures or specialty lamps) and customers will have the choice of entending warranty periods beyond the initial Energy Retrofitter's warranty. Since referrals are our most valuable marketing tool, you can be sure to see us promptly if there are any warranty issues. In warranty situations, Energy Retrofitters, Inc. will diagnose the problem, and replace and install components as necessary. If there are large numbers of lamp or ballast failures, Energy Retrofitters, Inc. will enroll the manufacturer to assist Energy Retrofitters, Inc. in remedying the problem in a timely manner. We provide the solution to the customer, and whatever arrangements are made between Energy Retrofitters, Inc. and the manufacturer are handled separately and transparent to the customer.
Result Tracking
Energy Retrofitters, Inc. will regularly track results of their projects over the guaranteed ROI term, and results are provided to the customer as desired. Our proven results are essential to track so that we may honor our written guarantees, and we ask that if you change electricity providers, that you provide us with information on them so that we can continue to monitor our results. At the conclusion of the Guaranteed ROI schedule, if the goals was not met based on the terms of the agreement, Energy Retrofitters will refund to the customer within 30 days the difference between the projected and actual savings.
